Responsible statement about the authenticity of the image provided for the management of the UDC University photograph

The person who provides the image corresponding to the UDC University Photograph declares, under his/her responsibility, that the photograph constitutes true information and it corresponds to his/her person as part of the UDC University community; therefore, he/she is aware of the possible legal responsibilities that could arise from the provision of false information or photographs.

The aim of the UDC University photograph is to obtain a not confusing, visual identification of the owner or the document. As an identifying element, it must faithfully represent the image of the person, so those that make the identification confusing can be rejected, even if they are recent photographs. It must fulfil a series of requirements:

  • It is very important that the oval of the face is clearly shown.
  • The background of the photograph must be smooth and white. It must be taken from the front so that the face and shoulders are perfectly visible, with the head completely uncovered.
  • Clothes that cover the head for religious or medical reasons will only be accepted as long as they show the face, eyes, nose, mouth and cheek.
  • Open eyes have to look at the camera lens and, if glasses are worn, they should have white lenses, without reflections, and clearly show the eyes. Glasses with dark lenses that prevent or hinder the identification of the person cannot be worn. Only for medical reasons glasses with dark lenses are allowed for people with visual impairment, as long as they use them regularly and permanently.
  • The photograph must be of high resolution and cannot be retouched by Photoshop to hide certain aspects such as moles, scars, wrinkles, baldness, spots, etc.
  • The photograph must be recent, not more than two years old and provided that there is no change in the person's features that would prevent a clear and absolute identification.

The following photographs are not valid and, therefore, are not accepted:

  • with dimensions or formats other than those indicated,
  • that are not colour photographs (e.g. black and white),
  • with any type of margins,
  • if they are blurred, pixelated or distorted,
  • with any type of background that is not plain white,
  • group photos, with animals, with objects, figures or furniture in the background, etc.
  • with any type of accessories and/or clothing that makes identification difficult: caps, sunglasses, clothing that covers part of the face, etc.

 

Information on personal data protection in relation to UDC University photograph

According to article 13 of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation, GDPR), and article 11 of Spanish Organic Law 3/2018 of 5 December 2018 on personal data protection and safeguard of digital rights (LOPD), it is reported that the image provided will be treated under the responsibility of the University of A Coruña (rúa Maestranza 9, 15001, A Coruña, phone +34 981 16 70 00, email rpd@udc.gal.

The purpose of processing these personal data is to identify the user of the UDC Services. All persons who come into contact with these data for the aforementioned purpose shall comply with the duty of confidentiality established in article 5 LOPD. The basis of legitimacy for the processing of this data is the consent of the person concerned: article 6.1.a) GDPR. These data will be processed for the time necessary to comply with the aforementioned purpose, without prejudice to its conservation in relation to the possible demand of legal responsibilities.

The owner of the data will have the right to request from the data controller the exercise of the rights of access, rectification, erasure, object or restriction of processing in the terms foreseen in the current legislation; for information on the exercise of these rights, please consult the UDC Data Protection webpage.
